- Flipcharts or whiteboards for capturing ideas
- High-speed, business-grade internet
- Video or phone conferencing technology for hybrid or remote participants
- Large screens, projectors, or other presentation tools (on request)
- An on-site support team to help set up and assist throughout your booking
If you need specific equipment, seating arrangements, or facilities, let your community team know at least 24 hours in advance and we’ll make it happen.

If your meeting room isn’t booked immediately after yours, you can extend your time — just speak to the team to adjust your checkout and any additional fees.
To avoid overrun charges:
- Book a buffer in advance
- Let us know early if you may need extra time
- Relocate to a lounge or breakout area for informal wrap-ups after your booking ends

You and your guests can arrive up to 30 minutes before your scheduled start time to get set up, network, or settle in. If your booked meeting space is available earlier, we’ll gladly give you access.

Cancellations are free if made:
- Within 2 hours of booking
- More than 20 working days before your meeting
Later cancellations incur fees:
- 4 days or fewer: full fee
- 11–20 guests: full fee if cancelled with fewer than 9 days’ notice
- 21+ guests: full fee if cancelled with fewer than 19 days’ notice
Speak with your center team if you need to reschedule — we’ll always try to rebook you into a slot that works.
